How PRN Scheduler handles information

This notice explains the information processed by PRN Scheduler and the choices available to facilities, administrators, PRN staff, and public website visitors.
1. Scope and facility responsibility
PRN Scheduler is an internal workforce scheduling platform. A subscribing organization controls its facility roster and workforce records. PRN Scheduler processes those records to provide the service and operate the platform.
The platform is not designed to store patient records, protected health information, payroll or banking data, medical accommodation details, background-check reports, or credential source documents.
2. Information we process
- Account identifiers such as name, work email, verified phone number, password hash, session, and security events.
- Facility membership, employee identifier where supplied, administrator scope, status, internal clearance badges, availability, preferences, shift responses, assignments, callouts, approved hours, and minimum-hours reviews.
- Notification routing, consent, delivery attempts, provider responses, and in-app read status.
- Organization subscription, plan, capacity, billing contact, and payment-provider identifiers. Complete card numbers are handled by the payment provider, not stored in PRN Scheduler.
- Technical records such as IP address, user agent, rate-limit events, audit events, and error diagnostics.
3. How information is used
- Authenticate users and enforce organization, facility, and role boundaries.
- Display availability, evaluate eligibility, offer and assign shifts, record callouts, and prevent duplicate or overlapping assignments.
- Manage internal clearance badges and monthly minimum-hours review.
- Deliver required account, scheduling, coverage, and billing notices.
- Protect the service, investigate failures, support customers, maintain audit history, and meet legal obligations.
5. Retention and organization requests
Records are retained according to the subscribing organization’s instructions, configured retention needs, operational requirements, security needs, and applicable law. Billing restrictions do not delete facility data.
Facilities may request an export, correction, or deletion where permitted. Certain audit, billing, fraud-prevention, backup, or legal records may be retained for a limited period.
6. Security and access choices
PRN Scheduler uses role-based access, tenant guards, encrypted transport, password hashing, secure sessions, rate limits, CSRF protection, parameterized database access, and audit logging. No system can guarantee absolute security.
Users may update notification preferences where optional. Required security, account, scheduling, and billing notices remain enabled. A facility code is only a locator and never grants access by itself.
7. Your choices and rights
Contact your facility administrator first to correct roster, clearance, availability, shift, or hours information. Depending on your location, you may also have privacy rights concerning access, correction, deletion, restriction, or appeal. We will coordinate appropriate requests with the organization that controls the record.
